Swim Stars Terms & Conditions
This page details important notes that relate to the swimming lessons that we offer at The River Bourne Club. Please read these and our club rules before starting your course.
TERM STRUCTURE AND PAYMENT METHOD
Swim Stars operates on a rolling programme over 48 weeks of the year, with breaks scheduled during specific holiday periods (e.g., Christmas and bank holidays).\ Fees are calculated on an annual basis and collected in 12 equal monthly instalments via Direct Debit (DD). This allows for consistent monthly payments regardless of the number of lessons in any given month. Direct Debit payments are mandatory and will be set up at the time of registration. Payments will continue unless a cancellation notice is received in accordance with our cancellation policy.
BOOKING AND PAYMENT
All lesson fees are collected monthly via Direct Debit, based on an annual programme spread across 48 teaching weeks. Payment is due monthly in advance and must be maintained to retain your child’s place in the programme. Lessons are booked on an ongoing basis and continue until you notify us of cancellation in accordance with the notice period outlined below. Bookings are not confirmed until your Direct Debit has been successfully set up. If you miss a payment, you will be deemed to have breached your agreement. Failure to settle any outstanding balance by the end of the calendar month will result in the cancellation of lessons and termination of your contract with immediate effect. Any pupil with outstanding balances may be refused entry to lessons until the debt has been fully cleared.
ACCESS TO FACILITIES
Payment for swimming lessons does not grant access to use any of the facilities at The River Bourne Club, including the gym, studios, or pool (outside of the designated lesson time). Access to the Club’s facilities is only available to active River Bourne Club members. Parents or guardians found using any facilities without a valid Club membership may have
their child’s swimming lessons terminated immediately, and access to the lesson programme may be permanently withdrawn.
CAR PARKING
Car parking facilities are owned and operated by Runnymede Council. The Council may change parking charges or time restrictions without notice.
Any complaints or enquiries regarding parking should be directed to Runnymede Council. Free parking is only available to full paying members of The River Bourne Club, who must always display the correct and valid parking pass in their vehicle.
Swim Stars participants who are not full club members are not entitled to free parking and should ensure they follow all applicable parking regulations.
NOTICE TO CANCEL
To cancel your swimming lessons, you must provide a minimum of one month’s written notice to swimming@rbhealthclub.co.uk. This allows us to process your cancellation and stop your Direct Debit in time for the following payment cycle.
ILLNESS
A Doctor’s note must be provided for a serious illness or operation. Only on submission of this note will we consider offering a replacement lesson.
INCREASE IN FEES
Swim Stars reserves the right to increase fees, and we will provide a minimum of 30 days notice.
PARENT/GUARDIAN RESPONSIBILITY
The parent or guardian must remain on site for the duration of the lesson.
CHANGE OF DETAILS
You must inform us of any changes in address, contact details, student health or condition and if there is a change of guardian/carer.
MISSED CLASSES
We are unable to replace any classes missed. If you do not attend a lesson, you will be fully charged. We do not accept cancellations or issue refunds, credits or make-up lessons. Where the pool or instructor is unavailable for your lesson you will be notified as soon as possible before your lesson. A replacement lesson will be offered. If Swim Stars must cancel a lesson or a series of lessons due to but not limited to acts of God, pandemics/epidemics or actions of government, credit for any cancellations that occur will be applied to your account. These credits will be applied within 35 days of the issuing of the credit against your direct debit payment.
CHANGES ONCE COURSE HAS STARTED
Once you accept and pay for your booking, any changes cannot be guaranteed and will be subject to availability. If we are unable to facilitate your change request, then your original booking will stand.
ABOUT CLASSES
You/your child will not necessarily pass a class in one term and may remain in a class for several terms to perfect the competencies, strokes, and skills required. Physical contact between the teacher and pupils may be necessary while teaching swimming lessons. By signing up to the Swim Stars lesson programme, we deem you as having issued your consent. The River Bourne Club has the right to replace teachers at any time. Refunds will not be offered for teacher changes. The Club may make reasonable changes to the programme and lessons, including lesson timings, levels, teachers, class sizes and pool locations. The lesson begins once the teacher accepts charge of the pupils. Parents/guardians must not leave pupils unattended on poolside prior to their lesson starting. Please be ready to collect your child before the end of the lesson. If you wish to discuss your child’s progress, please contact the Swimming Manager who will request a report from the teacher. The parent/guardian may remain on poolside in designated seating areas. Please do not distract your child during lessons. If you leave poolside, you must remain on the premises.
Teachers may use appropriate means to manage behaviour, including asking a child to sit out temporarily. The teacher will explain the reasoning at the end of the lesson or inform the Swimming Manager. If your child requires specific behavioural support, please inform the Swimming Manager and Swimming Teacher prior to their first lesson. Parents/guardian must not use electronic devices on poolside. Employees may use electronic equipment for instructional purposes.
CHILD PROTECTION
The River Bourne Club prioritises the safety of children and vulnerable adults. All staff in contact with children have a valid DBS check. The Club follows Swim England’s “Wave Power” child safeguarding policy. More details can be found at www.swimming.org.
COMMUNICATION AND COMPLAINTS
For information or concerns regarding your lessons, please contact the Swimming Programme Manager at swimming@rbhealthclub.co.uk or call 01932 560 560. Complaints must be directed to the Swimming Manager. Teachers cannot address complaints on poolside. Complaints should be submitted in writing to the above email. We will respond within 14 working days.
PRIVACY, DATA AND CHANGES TO TERMS
We will not share your personal data with third parties outside of Swim Stars, The River Bourne Club, or The Health Club Collection. You may request data removal at any time by contacting swimming@rbhealthclub.co.uk. Swim Stars reserves the right to amend these terms and conditions without prior notice. However, we will endeavour to inform you of significant changes as soon as reasonably possible.
Your payment indicates that you have read and agree to these terms and conditions, including how your data will be processed. By booking in person, online, or over the phone, it is your responsibility to have fully read and understood these terms and conditions. You have 14 days to cancel this agreement; all bookings after this date are fully subject to the terms outlined above.
